Free Consultation
Every practice is different. That’s why we offer an initial Free Introductory Phone Call to potential clients. During this call, we want to know exactly what you’re having the most trouble with and what’s keeping you awake at night.
Optimization Phase
This is where the transformation begins.
We will meet with your biller and at times the owner and leadership team for training and assistance with all aspects of billing as it relates to Prompt.
This is broken down into one-month increments with a minimum of 3 months required.

Transition Phase
The initial transition phase is two months long with the option to add monthly increments if needed. This phase only begins when you and your team are ready. This is where we start to lengthen the cord. We begin the transition for you and your team to do all the billing independently.
We continue much of what we did during the Optimization Phase but with much less frequency. We are still available through all the communication channels.
Virtual Support
When working with us you have access to us through Prompt communication channels, email, Google Meet, Loom recorded training videos, and our personal phones for calls and texting.

As a small business owner, let me tell you about our experience with Josh, Chris, and Valerie at OTPI. We were already looking at changing EMRs when the whole UHC/Change Healthcare Cyber attack happened in February of 2024. The billing company we were with basically said "hold tight" for a month and then by the end of month two with ZERO claims going out, they switched tunes and said "not our problem, maybe try sending all of your insurance claims manually and via mail." As a small business, this was not feasible and you can imagine by this point we were no longer getting paid and really feeling the stress of covering things like payroll, rent, and overhead (all while STILL being charged for a billing system that was functionally useless!).
I am so grateful for our onboarding team at Prompt EMR for recommending OTPI. From the first meeting, we had a sense of relief and a path forward. They customized a plan to not only handle all of our outstanding billing for us (at a GREAT rate BTW) and to get us caught up and paid ASAP, they also taught us how to do this on our own at each step of the way and set up a just-in-case plan in the event we are ever short a biller. They are super fast to respond with any of our questions and guided us through some complex scenarios with the experience and expertise of a team that had seen and handled it all. Best Business Decision I Have Made As A PT Practice Owner
Working with Josh and Chris at OTPI is one of the BEST business decisions I have ever made since owning my physical therapy practice. There is not enough good things to say about them.
Before working with OTPI and during the first few years of owning my clinic, it was a struggle. There were many rough days. We started with WebPT as our EMR, AdvancedMD as our PM, and a 3rd party billing company.
We did a great job treating patients. But I had a terrible job getting paid! It is hard to run a business when you don’t get paid! The great relationships we built while treating our patients were destroyed by the poor billing practices of our 3rd party biller, but I felt I had no control. I either had to make a patient mad and get paid or write the mistakes off and not get paid! Both were losing situations. Financially, the business tiptoed the line of breaking even and lived in the red for most of the time. Our clinic continued to grow due to great patient care, but so did the billing problems. I knew I needed to change and gain control over the billing even though I knew very little about that aspect of the business.
After a long search for a new EMR, I decided to go with Prompt because it was very streamlined from a clinical documenting standpoint, but more importantly, we could bring the billing in-house. During the onboarding process, it was suggested that I work with OTPI to help with the transition to bringing the billing in-house. I wanted all the help I could get, so I met with Chris and Josh. They knew from our first conversation that my business had some serious issues. But they were never condescending and only offered their support to help me. I agreed to work with them.
They immediately made a huge and dramatic impact. They took a deep dive and began uncovering issues. They were patient with us but also wasted no time in implementing changes. With their help and guidance, my business did a complete 180 in 3 months. Here are the highlights:
- We had as high as a 60-70%+ denial rate, and in the first month, they helped change it to less than 10%. Now it averages around 5%.
- It was taking us 3-6+ months to get paid on claims, and now 90%+ are paid in 2-4 weeks.
- They helped us set up EDI and ERA agreements with all of our payors for faster and more efficient billing practices.
- They worked with my office manager, who had very little to no experience in billing, and trained her such that she could bill as well as any biller in the country.
- They helped create and implement SOPs beginning with the front desk, worked them throughout the clinical department, and finished with our back office billing practices.
- Since they own and operate PT clinics themselves, they know and understand the clinical side of it all as well and helped our therapists with documentation and billing practices to be more compliant and effective in treating our patients.
- They helped increase our upfront collections by 200-300%
- They taught us how to determine and discuss the insurance and patient costs with our patients upfront. And if issues arise with insurance, we find out immediately and discuss them with our patients immediately. This has eliminated 99% of the issues we have with patients getting upset with billing.
I finally, for the first time since owning my practice, can see all the numbers! It’s not a mystery anymore. We are out of the red and now running in the black. I know my numbers better than I ever have. This has helped me run every aspect of my physical therapy practice better. The morale in the office is at an all-time high.
